SettleIT Agents can act on your behalf to complete your electronic settlements and lodgements. They will complete all the administrative roles of the settlement while you continue to approve everything and provide professional services to your client.

Getting Started

Ensure all Matter Details are completed in the Matter so that details are pre-filled in the SettleIT order form, saving you time and reducing clicks.


Launching SettleIT

1.    Open a Matter from the triConvey Desktop App. 


2.    Select SettleIt from the Matter Action Bar.

Tip:  This will launch SettleIT in a separate browser.


3.    Review the Matter, State and Service.

Tip:  This will default to the Matter type of the Matter you have opened from the triConvey Desktop App.


4.    Review What is included in your order.

Tip:  For offering details in each State, refer to our State Specific Workflows here.


5.    Click Continue.




Place Order

1.    Complete Settlement Details

Tip:  Property Enquiries will be arranged on your behalf for all NSW and QLD purchase matters depending on your time to settlement.   



2.    Review Property Address


3.    Review Purchaser(s) or Vendor(s) details. 

Tip:  This will be your client's details.


4.    Review and complete GST Property Settlement Withholding Details

Tip:  This is purchase specific.


5.    Review and complete Transfer Details

Tip:  Depending on your matter type, select whether there is an Incoming Mortgagee or Discharging Mortgagee and complete required details.


6.    Review and complete Firm Contact(s).   

  • Select from being a Primary Contact and/or Authorised Signatory.  
  • Select whether to Receive SMS updates.


7.    Click Order.




Onboarding

1.    Select VOI and CAF requirements.  

Tip:  Depending on the jurisdiction and matter type, additional pre-populated forms such as a Purchaser's Declaration or Trust Authority, will be included for signing by your clients.  



2.    Select Next.


Follow the prompts to complete Onboarding.  This will be dependent on the VOI and CAF selection made.  




Provide Documents

1.    Upload Required Documents.


2.    Upload Property Enquiries certificates if not ordered through SettleIT.


NSW and QLD purchase Property Enquiries ordered through triSearch, will be synced and saved automatically back to the workspace.  


Once the order is placed, you can track the certificates from Provide Documents.


Once certificates are returned, they will be made available for you to view and download from Provide Documents.




Settlement Booking

1.    Once your SettleIT agent has reviewed the documents, and can proceed with the settlement booking, the ELNO Workspace including Workspace ID, Settlement Date, Settlement Time and Invitation Status of all participants will be available to view. 


2.    For purchase matters, three (3) purchase transfer indicators are also available to view.  These are Loan Document receipt status, Shortfall Account and Shortfall Authority details.




Settlement Financials 

1.    Select the Trust Records tab for Trust Account Details. Trust Account Details can easily be copied and pasted into any email or document type which is being sent to your client.


2.    Upload the Trust Account Authority if it was not completed at Onboarding.


3.    Upload evidence of Payments made to Trust Account (if required).


4.    Once monies are receipted into trust, a Trust Account receipt and Transaction Table will be made available to download or view.


5.    From the Adjustment & Direction tab, settlement adjustments will be made available for review once your Agent has completed them.  If you are aware of any third party payments, you can manually enter them in the settlement financials section.


6.    Approval is required before your Agent can proceed to settlement. This will include adjustments and all Registry documents.  You will be notified by email and via the Messaging tool.

Tip:  If your approval is not received, your settlement cannot move forward.




Settlement

1.    The settlement status can be viewed from the Settlement tab. 


2.    You will also receive notifications as the settlement progresses.




Order Tracking

1.    The left navigation panel displays the order workflow.  It will indicate where in the process your SettleIT agent is and if any actions are required by you.


2.    The actions required by you will vary depending on the matter type and State. 


3.    You will receive emails and messages via the Messaging tool when you are required to action an item.




Post Settlement Documents

1.    All settlement documents and post settlement records can be obtained from the Documents tab.




SettleIT Dashboard

1.    View all outstanding and completed settlements from your SettleIT Dashboard.




Frequently Asked Questions

When is the SettleIT fee billed?
All SettleIT fees (including ELNO fee) are billed at settlement and deducted from the settlement proceeds. A tax invoice for the SettleIT fee will be provided per transaction for your records.
Are there any additional fees in addition to the SettleIT fee?
An additional urgency fee will be payable if the order is placed within 72 hours of settlement or if any required documents are not provided within 72 hours of settlement.
How do I communicate with the SettleIT Agent?
You will be able to communicate with the SettleIT Agent within the SettleIT workspace. Just click on the Agent's name via the Messaging tool from the bottom left corner of the navigation panel.
Does the SettleIT Agent communicate with my client?
No, all communications with your client are managed by your firm.
What if my client has already completed a VOI with us?
If you already have a VOI of your client, completed within the preceding 2 years, you may select to Upload an Existing VOI. A SettleIT CAF order will be created for your clients to sign.
Can email communications be disabled?
From the Dashboard setting, under the Notification Settings section, you can choose which email notifications to receive by selecting or deselecting them.
