General
Is the workflow available for use in all Australian states?
In it’s current iteration, the workflow is available in NSW, with plans for expansion.
What are the costs associated with the workflow?
There are no costs to use the workflow. Charges apply to the products and services that you use within it.
What are the minimum details required in order to open a matter before we upload the contract?
Your matter number, the property details (minimum requirement is to enter suburb, state, and postcode), your client name/s, email, and phone numbers. The more information you have in your matter, the more details that will map into the workspace.
Can users pick and choose which features to use?
Our one conveyancing workflow provides complete flexibility, so you can use one or all the products available within the workspace. To get the full benefits, including data mapping for less manual entry, we recommending using the workflow from start to finish and use all products.
What happens if we have already completed a title search before we compile the contract?
You can create a sale matter without ordering a title search by selecting ‘continue with verified details only’ on the ‘confirm property details’ page. If you proceed to order a Contract of Sale it will use the original title search, so you don’t have to order a new one.
If I am halfway through a matter, can I access this workflow?
The workflow will only be available for new matters which do not have searches and services from the standard triSearch dashboard. On new matters, you can go in and out of the workflow as you please – it will bring you straight back to where you left off.
What happens if you cease the workflow partway through?
You can still use all the certificates and services used within the new workflow to complete your transaction as they will still flow into your PMS matter.
When you upload the sales advice, what happens if you already have an existing card in triConvey? Does it ask to use this or does it automatically make a new card?
If the party details you have in triConvey match the sales advice, then it will use the existing contact card. If its different, the actions panel in the workflow will show a data conflict notification and you can update triConvey to match the sales advice.
Client Onboarding
What is the cost to brand the client portal?
There are no costs to brand the client portal. Simply upload your firm’s logo from your Account Settings > Firm Detail within your triSearch account.
Is there a client intake form?
No, Client Intake Forms can be found in the Productivity Pack addon to triConvey. Speak to your Account Manager to find out more.
Contract Preparation
Are there restrictions on using the workflow depending on the size of the contract?
Access to this workflow is not restricted based on file size of a contract.
Can we upload documents to add to the Contract of Sale from the triConvey file or do the documents have to be saved to the desktop and uploaded from there?
PDF and Word documents can be uploaded into the Contract of Sale from the triConvey file.
Will the contract front page have the abililty to populate accurate completion dates instead of just a number of days with the new workflow?
The completion date is available to populate the contract from either the ‘Length of Contract’ or ‘Other date for completion’ fields in the triConvey matter.
When sending the contract using the link/"email via triConvey", is this a live link? For example, if an amendment was made, would everyone with this link access the updated contract?
No, you will need to share a new link after any changes made to the contract.
If the contract is signed with a real estate agent, does this impact the process? Can this step be skipped?
Yes, you can skip this step and still use all the other services within the workflow.
Are properties with multiple lots/titles supported?
Yes, multi lots are supported and available for Sale, Proposed sale and Purchase matter types. You will be able to verify and order multiple titles at the same time and access a list that contains all plans, dealings and certificates related to all titles.
Contract Exchange
Does this signing platform achieve everything that DocuSign does?
Yes, the workflow uses DocuSign technology for signing.
When sending the contract using the link/"email via triConvey", is this a live link? For example, if an amendment was made, would everyone with this link access the updated contract?
No, you will need to share a new link after any changes made to the contract.

Post Exchange
What is the smart bundle feature displayed in the actions panel of my purchase matter when ordering certificates?
Smart bundles are a quick select tool, where certificates are preselected based on your previous orders for that particular Local Government Area (LGA). For new clients, smart bundles become available when you start creating certificate orders.
Can I update the certificates in my smart bundle which are preselected?
Smart bundles are constantly being updated based on your previous orders, so you will always have a preselected list that reflects what you typically order. Selecting the smart bundle button will check the box for the certificates, but not automatically order them, so you can always review and make changes before proceeding with the order.
Settlement
Can you select your own firm for settlement or do you need to use SettleIT?
SettleIT is integrated into the new workflow as a flexible electronic settlement solution. SettleIT will take care of the administration side of your settlement, so you can focus your time and energy on providing legal advice and building client relationships. However, you don’t have to engage SettleIT service to use the other products available within the workflow.
