When you add a payment to an individual invoice and the amount entered exceeds the invoice total, you will see a warning that displays in red: Overpaid amount of $xxx.xx will be added to the trust account matter balance.


In most cases, this indicates an incorrect amount having been entered, so the alert should allow for any incorrect data to be rectified before being processed.

Tip:  This only applies to individual invoices. If you are recording a payment that applies to multiple invoices, this warning will not appear.



If you process this transaction with the amount exceeding the invoice amount, the surplus will be recorded in your trust balance for this ledger. You would then need to transfer this amount from your physical Operating Account to your Trust Account. This is due to Australian legislative requirements not permitting funds to be held in an Operating Account that has not been invoiced.


Managing an overpayment applied to multiple invoices

triConvey does not currently support processing surplus funds for multiple invoices in a single transaction. In this scenario, you should either refund the excess amount to the client or transfer it to the trust account. If you transfer it to the trust account, make sure to record it as a trust transaction within triConvey.
